Key challenges and issues at the moment:

• Permit from municipality for noice laws exception
• Permit for alcohol
• Good: found a spot for all events / parts of the EJC
• Tickets sold: >2000 until yesterday, calculation is for around 4000 people
• A lot more things outside the EJC, p. e. workshops at schools, promoting the EJC, shows in the city
• City is very excited for the EJC

Questions and tasks from Simon:

• - Coach travel arrangements: not many responses to that  from the orga we just need a bus shuttle from the nearest train station
• - An alle: nochmal in unseren Netzwerken Bescheid sagen, dass es noch bis Ende Januar early bird tickets gibts
• - Cash or card? In the Netherlands most payments are by cards. Germans will expect to pay cash, at least with small amounts (p. e. bar drinks)  an alle: unsere Communities drauf vorbereiten, dass es auf der EJC2025 in erster Linie Kartenzahlung gibt; einfacher für die Orgas. Noch rausfinden: Debit vs. Kreditkarte, was funktioniert, was nicht? Wo sind extra Kosten? Sollte im Euroraum kostenlos sein  muss man noch recherchieren; er recherchier auch noch mal; evtl. prepaid EJC card
• Accessibility ideas and plans:
  • Visually impaired people: they have funding for Workshop (functional juggling)
  • Audio impaired people: looking for representatives of this group to connect
  • Weelchair accessibility: looking for contacts; weelchair area or maybe rather include weelchair places in other places (more inclusion, not seperation)
  • Willingness to make the EJC as accessible as possible

To Do: Send list from the conference (groups who are not usually at conventions) –> WER MACHTS?

Idea from the Orga-Conference: research for noice pollution
Set up microphones in different areas of the convention to find out how loud the noise actually is at what times –> we need to find the nerdy people to set this up. Would be perfect to give cities information for future EJCs, p. e. in Germany. Simon: perfect because we need to self-measure anyways.

Questions or concerns from the community:

• Supermarket nearby? EJC has plans for an on-site supermarket –> promote this more because people are wondering whether they will find food near

Key issues at the moment for them:

• finding a Fire Space orga –> FireSpace e. V. ?? https://fire-space.com/
• finding a Gala Show orga / Fire Gala –> Idee von Birte, wer Fire Gala machen könnte
• finding an Open Stage orga
• finden orgas for Special Stages (optional)
• short discussion / exchange of definitions: Galas are organized in advance, Open Stages are organized at the event, the orga will have to set up stages in advance, have technicians etc. but the artists will show up
• Website / ticket sale –> will be done by the EJA (ticket side at least)
• Calculations for participants: scenarios with 2000, 4000 and 6000+ people
• Tent issue: ground is not suitable for tent anchoring –> possible solutions: water weights or cement blocks
• will do a site visit in Arnhem in march

Plan für Bruneck:

• bereits 2-3 Core Orgas in Italien vorhanden (Namen werden aktuell noch nicht öffentlich gehandelt), haben aber Erfahrung
• Stadt Bruneck haftet für eventuelles Defizit: super sichere Ausgangssituation
• letztes Mal Bruneck großes Team, davon aber fast niemand vorher auf dem Gelände –> trotzdem kein Problem
• Team aus mehreren Ländern, haben sich über ein WE mal getroffen zum Arbeiten (in einem Haus in Bayern, persönliches Treffen sehr wichtig, um Leute kennen zu lernen, aber ortsunabhängig)
• Man bräuchte demnächst eine Strukturliste / Liste der Jobs und Aufgaben, um zu sagen, welche Themen aktuell gebraucht werden

Andere Städte? Weitere Ideen?

• man braucht ein Gelände
• man braucht die Zusicherung / Absichtserklärung der Stadt (und Location), dass die das für eine gute Idee halten und unterstützen wollen
• kleinere Orte sind leichter zu handlen als große Städte (kürzere Dienstwege, mehr Interesse an der Veranstaltung)
• Idee Simon (S.): Ferropolis, er macht dort nächstes Jahr eine sehr große Aerial Convention; Halbinsel mit (bald) direkter Zuganbindung; allerdings kaum Hallen
• Idee Ralf: Messe Friedrichshafen, direkt an einem Flugplatz, daher vermutlich wenig Problem mit Lärm
